Definition To provide a variety of responsible legal secretarial and clerical duties in support of the District Attorney's office and to provide secretarial and administrative support to all District Attorney Department staff.
Examples of Important Responsibilities and Duties--Important responsibilities and duties may include, but are not limited to, the following:
Essential duties and responsibilities 1.
Perform a wide variety of complex, responsible and confidential secretarial and administrative duties for the District Attorney's office.
2.
Prepare and process correspondence, legal papers and documents requiring knowledge of legal format, terminology and procedures.
3.
Prepare indictments, issue subpoenas, notify officers of court dates.
4.
Receive cases from investigating agency.
Gather information and prepare case for preparation to Grand Jury.
5.
Type and prepare a variety of correspondence and legal documents, including complaints and arrest warrants, Motions to Adjudicate/Revoke Probation and appeals.
Other important duties and responsibilities 1.
File and maintain files, data entry, scan documents into discovery.
2.
Answer phones, greet and assist public.
3.
Copy documents, work up, process, and maintain CPS, criminal and appeal files.
Pull files in preparation for trials.
4.
Assist with all clerical duties.
5.
Edit and prepare legal documents in Word.
File court documents with District Clerk's office.
6.
Notarize documents.
7.
Oversee and track notices from TDCJ Parole Division and inform DA of upcoming Parole hearings.
8.
Research case files and issue parole protest letters upon DA's request.
9.
Perform other duties as assigned.
Qualifications Knowledge of:
1.
Legal terminology and the forms and documents used in legal clerical work.
2.
Standard legal references and their contents.
3.
English usage, spelling, grammar, and punctuation.
4.
Modern office procedures, methods, and computer equipment.
5.
Business letter writing and report preparation.
6.
Pertinent federal, state and local laws, regulations and codes.
7.
Performing responsible and difficult secretarial work involving the use of independent judgment and personal initiative.
8.
Independently prepare routine legal documents, correspondence, and memoranda.
9.
Microsoft Word and Excel.
Ability to:
1.
Work under pressure and with deadlines.
2.
Prioritize work to be done.
3.
Work cooperatively with other departments, county officials and outside agencies.
4.
Communicate effectively, both orally and in writing.
Experience and Training Guidelines:
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.
A typical way to obtain the knowledge and abilities would be:
Two years of increasingly responsible legal secretarial experience.
High School Diploma or GED supplemented by specialized legal secretarial training.
Working Conditions Environmental Conditions:
Office environment; working closely with others and alone.
Physical Conditions:
Essential and other important responsibilities and duties may require maintaining physical condition necessary for sitting, typing for prolonged periods of time, lifting, bending, and reaching.
